Operations Officer

Post: Operations Officer

Business Unit: Express

Contract Type: Full Type Permanent with six (6) months’ probation

Reports to: Head of Operations

Job Purpose: Supporting Express and domestic operations to achieve its objectives in line with quality standards and policies.

Country: Mauritius

Key Accountabilities:

Proceed with Airline Bookings

Manifest key entry for outbound shipments

Communicate with customers to arrange pick-ups on time

Assess the delivery requirements and arrange as per the stipulated timeline

Guide and provide solutions to customer for alternative delivery solutions.

Collaborate with the team to locate shipments and assist other operations

Facilitate the flow of information horizontally and vertically.

 

Key Performance Indicators:

Minimising return to operations team (wrong location / customer not contactable)

Follow up of collection of customer’s payment for the respective charges.

Qualifications & Experience:

  • H.S.C with minimum 2 years’ experience in similar position.
  • High proficiency in both English and French
  • Intermediate level usage of Microsoft Office Applications (Word, Excel, Powerpoint)
  • Able to manage own workload, set and meet deadlines and operate independently with minimum levels of supervision

Job Purpose: Handling Delivery and Pickup consignments in a safe, efficient manner to achieve customer satisfaction.

Country: Mauritius

Key Accountabilities:

  • Develop and maintain good relationships with customers and team leaders
  • Focus to maintain company branding and visibility in front of customers
  • Coordinating with customers for scheduling pickup and deliveries
  • Adhering to set route and timeline for deliveries / pickup
  • Reaching out to customers for updating for delivery / pickup in case of delays
  • Provide the customer of the weight of pickup for accurate billing.
  • Collaborate with the team to achieve its objectives
  • Facilitate the flow of information horizontally and vertically.

Key Performance Indicators:

  • Ensure having zero loss of shipments
  • Adherence to safety driving regulations
  • Collection of customer’s payment for the respective charges.

Qualifications & Experience:

  • H.S.C with minimum 2 years’ experience in similar position.
  • Fluent in both English and French
  • Clean driving record
  • Certificate of Character (less than 1 year validity)

Other Requisites & Skills:

  • Use of handheld input devices for scanning.
  • Ensure company vehicle is maintained as per company norms.

Credit Control Officer

Job Purpose : The credit control officer is responsible for reducing Celero Group’s debtors balance through strict management of the debtor’s accounts and effective reporting
 
Country : Mauritius
 
Key Accountabilities:
  • Proactively manage debt collection on assigned portfolio of accounts.
  • Issuing of statements to clients using established guidelines, deadlines, procedures and process driven methodology.
  • Agree payment plans with customers and ensure that they are adhered to
  • Resolution of queries to facilitate payments from customers
  • Prioritise and manage a challenging workload whilst maintaining a high level of customer service and satisfaction
  • Liaison and communication with internal departments as required in order to maintain an accurate position on customer accounts
  • Ensure that all prepared communications are accurately recorded/documented in a timely manner
  • Preparation of files for debt collection agencies whenever required
  • Attending court cases when required
  • Preparing weekly reports on the credit control/debtor
  • Assisting the credit controller
  • Assist in ad-hoc duties as required and as allocated by the Finance & Administration Manager
  • Participate in appropriate training and professional development
 
Key Performance Indicators:
  • Days Sales Outstanding
  • Collection Effectiveness Index
  • Proven experience in successful credit control role, preferably with variety of debtors
  • 3+ years’ experience in a finance team with variety and large volume of debtors
  • Proven ability to utilise Finance systems accurately and efficiently
  • Able to manage own workload, set and meet deadlines and operate independently with minimum levels of supervision
  • Excellent knowledge of Microsoft Office Systems especially MS Excel.
  • Knowledge of Sigma ERP would be an advantage

Job Purpose: To understand and meet customers’ needs to satisfaction

Key Accountabilities:

  • To attend inbound calls pertaining to operational requirements
  • To update clients at every step of their shipment process
  • To gather customer feedback and share with all internal stakeholders.
  • To Identify and assess customers’ needs to achieve satisfaction
  • To deal with, solve and minimize any arising customer complaints.

Key Performance Indicators:

  • Calls attended
  • Delay and chronology in attending any complaints

  • Daily Updating of tracking systems

Qualifications & Experience:

  • HSC
  • At least two years in logistics operations (preferably air freight)

Other Requisites & Skills:

  • Well versed in logistics procedures and activities.

  • Preferably living in the Central  Plateau / Southern part of Mauritius

Job Purpose: The Receptionist is responsible for providing secretarial, clerical and administrative support in an effective and efficient manner.

Key Accountabilities:
  • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Receive and sort daily mail/deliveries/couriers and deliver packages at counter.
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
